The service
TrainerCue is a CRM built for coaches: pipeline, follow-ups, tasks, lead intake, an Instagram inbox, automations, and weekly reviews. By creating or using an account you agree to these terms. You can create a workspace yourself on the Free plan; white-label and enterprise arrangements are made by agreement and may carry their own commercial terms that take precedence over the plan terms below.
Your account
You must be at least 18 and using the service for your business. The service is offered solely to persons located in the United States, and by using it you represent that you are. Keep your sign-in credentials to yourself and tell us immediately if you believe your account is compromised. You are responsible for activity under your account and for the accuracy of what you put into it.
Plans, limits, and pricing
Plans differ in limits and features, as described on the pricing page. Limits apply to creating new things: if you change to a smaller plan (or a paid plan ends), everything you already built stays in your workspace and becomes fully usable again the moment you upgrade; nothing is deleted for being over a limit, and export works on every plan, always.
The Free plan is free. Paid plan prices are shown on the pricing page and may change; a price change will never affect an active paid subscription without notice before your next renewal. While paid checkout is rolling out, paid features may be temporarily unavailable to purchase. Pages that advertise them say so.
Your data is yours
Everything you enter (leads, notes, pipelines, templates) is your data. You grant us only the license needed to store, process, and display it to operate the service. You can export your leads and tasks as CSV, or your whole workspace as JSON, from Settings at any time. Our Privacy Policy governs how we handle it, and the Data Processing Agreement governs our role as processor of your leads' data.
Health information boundaries
TrainerCue is a coaching CRM, not a medical system. Do not use it to store records of patients you bill to insurance or any other third-party payer; if you are a licensed provider with a clinical practice, keep those records in a system built for them. TrainerCue is not a covered entity or business associate under HIPAA and does not sign Business Associate Agreements.
Nothing in the service is medical advice, and the service does not create a doctor-patient relationship. Your coaching remains your professional responsibility.
Clients and minors
Client-facing features are for adults. You represent and warrant that any client you invite to a TrainerCue account is 18 or older. People under 18 may exist in your workspace only as your own CRM records (a lead, contact details, session notes); they get no login, and you must not upload images of minors. We report apparent child exploitation where the law requires it.
Acceptable use and outreach
Use the service for your coaching business, lawfully. Outreach you send or initiate through TrainerCue (email, SMS, DMs) is yours: you are responsible for having any consent the law requires for the person and channel you are contacting, honoring opt-outs promptly, and following the anti-spam and telemarketing rules that apply to you. Some jurisdictions (including the EU and UK) require prior opt-in consent before marketing to an individual; that responsibility is also yours.
Do not upload data you have no right to hold; do not probe, overload, or attempt to break the service or other workspaces' isolation. We can suspend accounts that put other customers or the service at risk, and we will tell you if we do.
The Instagram inbox depends on Meta's platform and its terms; connecting an account means you also comply with Meta's applicable policies. Content you send through the inbox, and outreach you conduct on Instagram, is your responsibility. Disconnecting Instagram deletes the stored conversation history from your workspace.
Integrations
Google Calendar and Calendly connections are optional, governed by those providers' own terms, and can be disconnected in Settings at any time. Disconnecting deletes the stored credentials.
Availability and changes
We work to keep the service fast and available and your data safe, including a 30-day trash for the CRM records you delete (see the Privacy Policy for exactly what is covered). The service evolves; features may be added or improved over time. It is provided “as is”, without warranties of uninterrupted or error-free operation.
Ending things
You can stop using the service and delete your workspace at any time, from Settings or via the privacy request page. If either of us terminates your agreement, you will have a 30-day window to export your data before it is permanently erased.
Liability
To the maximum extent the law allows, neither side is liable to the other for indirect or consequential damages, and our total liability under these terms is capped at the fees you paid for the service in the twelve months before the claim. Nothing here limits liability that cannot legally be limited.

These terms and any disputes under them are governed by the laws of the service provider's principal place of business in the United States. Questions first, always: support@trainercue.com.
